New Faculty Onboarding

Newly appointed KU School of Medicine faculty are introduced to the fundamental aspects of being a faculty member at the KU Medical Center.

The onboarding experience includes a live virtual session (Part 1), followed by on-demand videos (Part 2) covering teaching, research, and service. Participants are also enrolled in the New Faculty Advisor Program, which pairs them with an experienced faculty advisor to provide support.

Whether through interactive sessions, videos, or advising, this program aims to equip new faculty with the resources, knowledge, and connections that foster a successful and meaningful academic journey.

Invitation Process

Newly appointed School of Medicine Faculty are invited to participate in the onboarding program by Victoria Rosales, Administrative Assistant, School of Medicine Faculty Development. When invited, you will receive an email with event details, including an Outlook calendar appointment to easily add the session to your schedule.

A continuation of Part 1, Part 2 includes brief, on-demand videos covering Teaching, Research, and Service.

To support the success of incoming KU School of Medicine Faculty, the School of Medicine’s Faculty Affairs and Development (FAD) office, in partnership with the Academy of Medical Educators (AME), offers the New Faculty Advisor Program. This initiative connects new faculty with experienced AME members to provide personalized guidance and foster a smooth transition into academic life at the KU School of Medicine.


Overview

The Academy of Medical Educators (AME) at the KU School of Medicine is an organization comprised of faculty who are expert medical educators. Their work promotes and supports innovation in medical education.

Through a collaboration with the Office of School of Medicine’s Faculty Affairs and Development (FAD), AME advisors are paired with new faculty members who attend the New Faculty Onboarding (NFO). These advisors serve as an accessible, approachable resource during the early stages of your faculty journey.

Attend/Join

Attending the New Faculty Onboarding automatically enrolls you into this program. Should you wish to opt out of this program please contact Victoria Rosales, Administrative Assistant, School of Medicine Faculty Development.

Pair

The Faculty Development team will match each new faculty member with a current Academy of Medical Educator member.


Meet

Advisors are encouraged to schedule an initial meeting within 3–6 weeks of the introduction email. After the initial meeting, the advisor will continue to check in periodically.

Advisors may choose to meet with advisees individually or in groups. Group meetings are often preferred, as they allow new faculty to learn from shared experiences and build community.

The advisor is the first point of contact for general or surface-level questions as you acclimate to the School of Medicine. They are here to help you get oriented and find the right resources when needed.


Please Note

This program is separate from our Mentorship Program, which provides cross-departmental, in-depth career support. If your advising relationship naturally evolves into a mentoring one, we kindly ask both parties to formally join the Mentorship Program and notify us so we can ensure you’re appropriately matched.

The New Faculty Onboarding event is designed to welcome and support newly appointed KU School of Medicine faculty at the KU Medical Center. Hosted by the School of Medicine Faculty Affairs and Development (FAD) office, this program provides essential information, tools, and connections to help faculty successfully begin their academic careers.

We strongly encourage participation in the New Faculty Onboarding (NFO). We understand that faculty schedules can be demanding, so while we recommend completing the onboarding process as early as possible, it may be completed at any time within your first two years.

Please Note

This onboarding is separate from the general KU Medical Center orientation and is specifically designed for faculty in the KU School of Medicine.


Beneficial Reasons

Comprehensive Overview: The onboarding program provides a thorough introduction to the specific policies, procedures, and resources available within our institution. Most notable is the promotion and tenure process. This information is essential for faculty members to effectively navigate their roles and responsibilities.

Networking Opportunities: Attending the onboarding allows new faculty to connect with peers and colleagues across various departments. Building these relationships early can foster collaboration and support throughout their tenure. Also, outside department AME advisors will be given to those in attendance.

Institutional Culture: Understanding the unique culture and expectations of our institution is crucial. The onboarding sessions offer insights into our values, mission, and community.

Support Systems: New faculty members will learn about the various support systems and services available to them, including professional development resources, mentoring programs, and administrative support.

Tailored Content: The onboarding is designed to address the specific needs and challenges faced by new faculty. The program is continuously updated to reflect the latest changes and developments.

The New Faculty Onboarding (NFO) is primarily designed for newly appointed KU School of Medicine faculty. However, all KU School of Medicine faculty are welcome to attend!

If you're not new but would like to participate, simply contact Victoria Rosales, Administrative Assistant, School of Medicine Faculty Development, and she’ll be happy to assist you.

We understand that faculty schedules can be demanding. While we recommend completing the onboarding process as early as possible, you have the flexibility to attend.

If you're unable to attend your originally scheduled session, you'll remain on the invitation list and will continue to receive updates for future sessions until you're able to attend.

Before

Once invitations are sent out, please add the event to your calendar. You’ll receive a reminder email with the agenda and a link to submit any questions for our presenters in advance. We encourage you to review the agenda beforehand and share anything you’d like us to address during the session.

During & After

Come as you are! Whether you participate by speaking, using the chat, or engaging in silent reflection, all levels of engagement are welcome and appreciated.

This is an interactive session, and we’ll be sharing helpful resources throughout. There’s no need to worry about capturing every detail in the moment. After the session, you’ll receive a follow-up email with the presentation slides, all shared links, and key resources in one easy-to-access location.

Precision Medical Education Community of Practice KUMC

The Precision Medical Education (PME) CoP will serve as a space for faculty who are interested in developing and implementing student-specific support interventions that are driven by data analytics. We welcome faculty and staff from across the School of Medicine, working in undergraduate medical education (UME), graduate medical education (GME), and graduate studies programs. 

Microsoft Teams will be used for asynchronous engagement, and we have scheduled four quarterly meetings (held virtually). Members of the group may decide to meet more frequently, depending on project needs.


Writing Community of Practice KUMC

The Writing CoP will serve as a space for faculty who are interested in developing their skills in scholarly writing and managing productivity through optional co-writing spaces. We welcome faculty and staff from across the School of Medicine, working in undergraduate medical education (UME), graduate medical education (GME), and graduate studies programs.
