The University of Kansas School of Medicine-Wichita, through the office of the designated institutional official, Dr. Gretchen Irwin, is committed to ensuring a professional training environment conducive to learning and safe patient care.

A concern is an issue, problem, treatment or troubling question you have about a residency program, program leadership, faculty or the sponsoring institution. This form offers a confidential forum to voice concerns about program conduct, or other issues that need to be brought to the attention of the designated institutional official for graduate medical education.

A compliment is something positive that added to your experience, enhances or improves residency. We appreciate knowing when someone has gone above and beyond to help a resident become a better physician or to make working together a better place to train, work and care for patients. A compliment submission gives us the opportunity to thank the dedicated leaders, faculty, administrative staff, other residents or any individual who devotes their time to graduate medical education.

A concern or compliment can be made by submitting the form at the bottom of this page; however, you can also submit your concern or compliment by email, letter or a phone call to Dr. Gretchen Irwin.

When a concern is received, it is handled in the following manner:

1. Concerns will be investigated by the DIO for graduate medical education. In order to investigate your concern, you must include your name. The details you describe will be investigated in a confidential manner. Concerns will be investigated without revealing the identity of the person who submitted the concern. Please recognize that confidentiality is limited in programs with small numbers of residents. Anonymous concerns will be accepted but will not be investigated as the first step in the investigation is to talk with the person voicing the concern.

2. The program director will be notified of the concern without revealing the name of the person submitting the concern, unless that person has stated in writing that it is permissible to reveal his or her identity. The DIO will investigate the concern through contact with the program director, faculty, residents and other staff as appropriate. After investigating the concern, the following steps may occur:

• If the complaint is against the program, and the investigation finds the program is in compliance with ACGME requirements, stated program and KUSM-W policies for graduate medical education, and if the program is not engaging in prejudicial, harassing or unlawful behavior, no further action will be taken. If the complaint is against an individual, the outcome of the investigation may be communicated to the associated employer.
• If the program is in violation of the requirements and policies for graduate medical education, or is otherwise operating in an unfair, discriminatory or unlawful manner, the DIO will work with the program director, other residents, faculty, department chair, staff and/or the GMEC to resolve the situation.
• If the concern is regarding the program director, the DIO will notify the department chair of the concern. As a part of the investigation, in addition to the department chair, the DIO may work with the faculty, other residents and other staff as appropriate.

3. After the appropriate steps are taken, the DIO will inform the person who submitted the concern about actions taken.

Documents and notes related to the concern will not be maintained in the resident's training file.

Documents and notes related to the concern will be maintained separately from either the resident's file or the program's file.
