REDCap

A secure web application for building and managing online surveys and databases.

REDCap (Research Electronic Data Capture) enables rapid project development and provides users with advanced functionality, complete autonomy and control of a project and direct exports to common statistical packages. REDCap surveys and databases are HIPAA compliant and include audit trails.

Several language translations have already been compiled for REDCap (e.g. Chinese, French, German, Portuguese), and it is anticipated that other languages will be available in full versions of REDCap soon. A person who has a KU Medical Center or Affiliate account ID and password. A REDCap user has the ability to create and access projects. For user profile validation, visit the REDCap website.

To use a group email, you will need to add the email to your user profile as a secondary email. Log into REDCap. Click on “Profile” in the upper right of the window. Complete the secondary email field.  

  • You must have access to add new user rights. 
  • Use their KUMC ID. For example, if their email address is smith@kumc.edu, “smith” is the ID.  
  • Add the KUMC ID to the “Add new user” field. 
  • If the user’s name displays while you are adding the name, then the user has access to REDCap 
  • Click on the “Add with custom rights” button. 
  • Put a checkmark on the areas you would like for the user to view/edit. 
  • If the new user does not have a KUMC ID and password, you will need to have your Department Administrator to garner an affiliate account for the new user. The Department Administrator needs to have the rights to request new email accounts from the Information Research (KU Medical Center Help Desk 913-945-9999).

Requirements for access: 

  • REDCap is connected to the CAS System (Central Authentication System) to allow users to bypass multiple logins. 
  • All KU Medical Center faculty, staff and students can access REDCap using their username and password. 
  • Any questions related to KUMC usernames/passwords should be directed to the KU Medical Center Information Technology Help Desk at 913-945-9999. 
  • Shared KU Medical Center user accounts (e.g. ocriosupport@kumc.edu) cannot be used to log into REDCap.  

REDCap will be connecting to INCommon to allow affiliate/multisite users to log into our KU Medical Center REDCap with their own university accounts. The external university is required to be a part of the INCommon to use this functionality. 

  • Researchers at KU Medical Center can provide external collaborators with access to their projects in through affiliate accounts. 
  • Researchers at KU Medical Center have to put in an Affiliate Account creation request before the collaborators can be granted access to the REDCap project. Only departmental account requestors may submit this request to Information Technology. 
  • Once the collaborators have an affiliate account, they can be granted access to REDCap projects. 

These modules are found under the “Applications” side menu, within the “External Modules” link. Only Project Administrators (user with design rights) and REDCap Administrators can see and enable these modules. 

Color Matrix 

  • Allows users to change the background color of a matrix of fields on a survey. 
  • Specify the matrix choice name and then background HTML color: voila! 

 Date Calculated Fields 

  • Allows for piping from date fields to other date fields, regardless of format. 
  • Can pip data across events within a REDCap project. 

 Field Help 

  • Adds toggle-able field help to data entry forms and surveys. 

 Field Notes Display 

  • This Module will show the “Field Note” box information on the field in the following ways: 
  • Hover - The module will show the “Field Note” information on the field by moving the cursor over the text box, link, multiple choice. 
  • Tooltip - The module will show the “Field Note” information on the filed by moving the cursor over the “?”. 
  • Popover - The module will show the “Field Note” information on the field by clicking the “?”. 

 Hidden by Role 

  • Hide by role will only show the field for the role indicated in the action tag but will be hidden for any other roles and users not in a role 
  • Note: That roles must be created in the User Rights to use this module. 

 Hide Randomization Values 

  • The module will hide the randomization values from the dialog box and on the Data entry form. 
  • Note: The project must have Randomization enabled. 

 Instant Field Concatenation 

  • This module concatenates fields and places the result in another field instantly. It happens upon the user leaving the field. 
  • Note: This module will only concatenate for text or note boxes. 

 Show by Role 

  • This module allows fields to be hidden from other User Roles than specified in the field. 
  • Note: That roles must be created in the User Rights to use this module. 

 Survey Dashboard 

  • This module will show a dashboard of survey results. 
  • Note: The project must have Surveys enabled and an instrument that is a survey. 

 Two Column Check 

  • This module will allow a multiple-choice field that has more than 12 choices to create a second column. 
  • Note: The project must have Surveys enabled and an instrument that is a survey.
