Data Request Process
Once you are in HERON, you can create a search and obtain a data set. Follow these steps.
Create a Search
- Search by dragging and dropping concepts (e.g., search terms) into groups
- Search options include limiting by dates, searching within the same financial encounter, defining multiple occurrences, excluding items, and more.
- Watch a video demonstrating a simple search.
- Watch a video discussing the search options within the tool.
Obtain a Data Set
Each tool requires a patient set, also called a patient list. For a step-by-step guide to creating a patient set, naming your search and saving it to your workplace, consult the HERON Manual (PDF).
Request Data
Faculty members can request identified or de-identified data. See instructions for requesting a data set in the HERON manual (PDF) or watch the training video for requesting data.
Receive Data
After a data request has been approved by the Data Request Oversight Committee (DROC), a HERON team member will provide you with the data. You will receive a REDCap project and the raw data. The raw data will be attached in the file repository of the REDCap project or sent via KU Medical Center’s secure files tool.
