Exhibit Rules and Regulations

1. RULES AS A PART OF THE CONTRACT

These Kansas Career Opportunities KCO 2024 Exhibit Rules and Regulations are part of all exhibit contracts. The University of Kansas Medical Center (KUMC) reserves the right to interpret them and make final decisions on all points the Rules and Regulations do not cover.

2. DEFINITIONS

KCO career fairs are reserved exclusively for "rural" and/or "urban underserved" health care facilities, as defined below:

Rural: Health care facilities in 100 of the 105 counties in Kansas are designated as rural. Facilities located in Johnson, Sedgwick, Wyandotte, Shawnee, and Douglas counties are not considered rural.

Urban Underserved: Health care facilities in Johnson, Sedgwick, Wyandotte, Shawnee, and Douglas counties that provide primary care medical, dental, or mental and behavioral health services to the community regardless of a patient's ability to pay.

3. APPLICATION FOR EXHIBIT SPACE

Applications for exhibit space must be submitted through the Health Care Career Fair web page. Each community represented at KCO must have contracted for space.

4. PAID REPRESENTATION

Facilities must be paid participants to discuss or share health care positions with attendees at KCO or in follow-up discussions. Candidate information gathered at KCO must not be shared/used for recruiting for facilities that did not pay to attend or to be represented at KCO.

5. TABLE ALLOTMENT/MINIMUM NUMBER OF EXHIBITORS

Each facility is encouraged to have its own exhibit at KCO. All exhibit tables must have a minimum of one (1) representative present during exhibit hours.

6. ADDITIONAL EXHIBITORS

The applicable exhibit fee, based on the schedule below, includes two (2) representatives. A $50 fee will be added for each additional representative, with a limit of four (4) total exhibitors. No more than four (4) representatives will be allowed at any exhibit table.

7. WHO CAN EXHIBIT

Contingent upon an approved application for exhibit space, in-house recruiters that are employed by and housed in a rural and/or urban underserved healthcare facility are permitted to exhibit. No outside recruiters or consultants can exhibit or attend the KCO event.

8. EXHIBIT MATERIALS

All signage, handouts, and giveaways must include the name of the Rural or Urban Underserved healthcare facility. Exhibit materials of those facilities which are part of a network/health system may not include references to or visible marks of an urban location/site or site that has not contracted for space.

9. PROGRAM LISTING

Each facility will be listed in the program with its facility-specific address, website and facility description. If the facility's main recruiter is located off-site, the program information may be for the off-site recruiter. For facilities within a network/health system that shares an exhibit table, the program will denote that the facility is represented by its network/health system.

10. EXHIBIT FEE SCHEDULE

In an effort to maintain equitable recruitment opportunities for a variety of health care models, the following tiered pricing will apply:

TIER 1: Network and/or Health Systems (multiple independent medical facilities who leverage resources with one another, or systems that own more than one hospital)

  • $750.00 for each facility ($250 for KCO Salina)
  • $50 DISCOUNT will apply for each facility when 3-6 facilities within the same network/health system want to share a table.

TIER 2: Hospital plus satellite clinics OR Multiple clinics

  • $750 for first facility ($250 for KCO Salina)
  • $250 for each additional facility (after first registration) that will be present at the table

Additional site locations require an additional exhibit fee unless one of the following criteria is met:

  • a. Additional clinic(s) is located in the same community as the primary facility OR
  • b. Position(s) being recruited will travel to multiple facility owned locations regularly. This travel will not exceed 50% of the practitioner's regular schedule.

TIER 3: Individual Facility

  • $750 ($250 for KCO Salina)

Additional site locations require an additional exhibit fee unless one of the following criteria is met:

  • a. Additional clinic(s) is located in the same community as the primary facility OR
  • b. Position(s) being recruited will travel to multiple facility-owned locations regularly. This travel will not exceed 50% of the practitioner's regular schedule.

TIER 4: Pharmacy (Kansas pharmacies in Rural or Urban Underserved areas of Kansas are eligible to exhibit)

  • $250

Additional site locations do not require an additional fee.

TIER 5: Behavioral Health (Registration is limited to first ten (10) members of the Association of CMHCs of Kansas Inc.)

  • $500 for first facility if exhibiting ($250 for KCO Salina)
  • $250.00 for each additional facility (after first registration) that will be present at the table

Additional site locations require an additional exhibit fee unless one of the following criteria is met:

  • a. Additional clinic(s) is located in the same community as the primary facility OR
  • b. Position(s) being recruited will travel to multiple facility-owned locations regularly. This travel will not exceed 50% of the practitioner's regular schedule.

11. ITEMS PROVIDED WITH EXHIBIT FEE

  • Food and drink for two (2) representatives
  • 2 ½' x 6' table with tablecloth
  • Facility profile in the event program
  • Event folder
  • Opportunity to meet with health care students (nursing, medical, etc.), resident physicians and professionals to discuss future employment

12. PAYMENT

The exhibit fee must be paid at the time of application. Exhibitors will not be allowed to occupy assigned space until all fees are paid in full. KCO accepts credit cards, ACH payments, and checks.

13. REFUNDS FOR CANCELLATION

If written notice of space cancellation is received by KCO at least two (2) weeks prior to the event date, a refund of all exhibit fees, less a $50 administrative fee, will be made. Any cancellations less than two (2) weeks prior will not receive a refund.

14. SUBLETTING OF SPACE

Exhibitors may not assign, sublet, or in any other manner transfer the whole or any part of space assigned to them.

15. ELECTRICAL/WIFI ACCESS

Electrical outlets and/or wireless internet access CANNOT be reserved or guaranteed.

16. LIABILITY

The exhibitor assumes all responsibility for property damage, personal injury or death to any party by reason of the exhibitor's participation in the KCO events. The exhibitor agrees to defend, indemnify and hold KUMC, and its employees, agents, and subcontractors, harmless from all liability that might ensue from any cause whatsoever arising out of the exhibitor's participation in the KCO events. Exhibitors shall obey all federal, state and municipal laws and ordinances applicable to their own exhibits, and agree to abide by the policies of KUMC regarding use of facilities and conduct at the location of the panel and career fair.

17. NON-DISCRIMINATION

Exhibitors agree not to discriminate against any person because of race, religion, color, sex, disability, sexual orientation, national origin, ancestry or age in the admission or access to, or treatment or employment in, its programs or activities.

18. CANCELLATION OF CAREER FAIR

If for any reason whatsoever, Rural Health Education and Services is prevented from holding the KCO event(s), Rural Health Education and Services, KCO, and KUMC shall not be held liable for any expenses incurred by the exhibitor. In that case, KCO agrees to refund exhibitor fees previously paid to KUMC.

19. REFERRALS

All participants attending the KCO event will be considered referrals of KUMC's Rural Health Education and Services. In our continued efforts to evaluate our success, we request exhibitors to notify KUMC Rural Health Education and Services of any direct or indirect referrals that are a result of exhibiting at the KCO event. In the event a candidate is placed due to the direct or indirect referral of KUMC Rural Health Education and Services, a Media Consent Release form will be sente to the exhibitor. If an exhibitor currently has a contract with the Kansas Recruitment and Retention Center, applicable contract fees will apply upon candidate placement.

20. RIGHT TO DECLINE PARTICIPATION

Rural Health Education and Services reserves the right to decline participation in the KCO career fair.

21. INSTALLATION OF EXHIBIT

All exhibits must fit on a 2 ½' x 6' table. Exhibitors must set up, exhibit, and tear down displays according to the following schedule:

KCO Kansas City, Sept. 4, 2024 – All exhibits must fit on a 30” round bar-height table.

  • Set up: 4-5 p.m.
  • Tear down: 7:00 p.m.

KCO Wichita, Oct. 3, 2024 – All exhibits must fit on a 2 ½’ x 6’ table.

  • Set up: 2-3:30 p.m.
  • Tear down: 7:30 p.m.

KCO Salina, Oct. 24, 2024 - All exhibits must fit on a 2 ½’ x 6’ table.

  • Set up: 10:00 – 11:00 a.m.
  • Tear down: 1:30 p.m.
