Resident Travel Information

Notice:

Effective December 1, 2020: International Educational Experiences have been suspended through December 2021. There is hope that these opportunities for international travel will resume in 2022 once the efficacy of the immunizations are known and the distribution of them is widespread. 

The data and science will drive the decisions made by the university relative to student mobility. In the meantime, we encourage students to consider the virtual opportunities available.

Also, take note of the Foundations of Global Health series which is designed to connect residents, students, learners and faculty to leaders in global health. The goal of this series is to inform participants about the field of global health in its entirety to include global health research, philosophy, approaches, attitudes and the varied efforts in the areas of health disparities, health inequities and community health. Professional Travel Registration

Requirements

All KU employees are covered by International Travel Insurance - please see the KU Human Resources Management website for details

The Office of International Programs will register your trip in the US Department of State's Smart Traveler Enrollment Program (STEP)

Please submit the following to the Office of International Programs - via REDCap survey link 

  1. Color copy of your passport
  2. Color copy of your VISA (if applicable)
  3. Flight and travel itinerary
  4. Copy of Health Insurance Card
  5. Emergency Contact Form - Employee
  6. Assumption of risk (non-high risk location)
  7. Complete the International Travel and Export Analysis  
  8. • Register in Saba for Information Security and International travel training

Preparation Timeline

6 Months Prior to Departure
  1. Apply for your passport/renew your passport
    • Note: If you have a valid, unexpired passport, is your passport valid for at least 6 months after the planned return date of your trip? And do you have at least two pages available for stamps in your passport?
  2. Get your Visa (if applicable)
    • Do you need assistance applying for your Visa? Contact International Programs.
      • Be aware that this process should start 4-6 months in advance;
      • Be aware that if you are not a US Citizen, Visa processing times and requirements vary from country to country;
  3. Make your travel arrangements
    • If you travel through another country to reach your destination, you may need a transit Visa.  Please be sure to bring this to the attention of OIP, or if you are handling your own Visa, check with the airlines.
    • If you are not a US Citizen, a transit Visa may be required of you even when it is not required for a US Citizen, so be sure to communicate your citizenship.
  4. Suggestion: Start exploring culture and developing your cross-cultural competence by attending OIP events prior to leaving the country.
2-4 Months Prior to Departure
  1. Suggestion: Are you a first-time traveler? OIP offers a Health and Safety Meeting (optional)
  2. Suggestion: Read the following materials developed for students that may also be useful for your travel:
  3. Complete required paperwork
  4. Complete required paperwork for the GME office - get with the Residency Coordinator in your department for more information.

Upon Your Return to KUMC

  1. Upon your return check-in by email with OIP at srader@kumc.edu.
  2. Prior to leaving, schedule a debriefing meeting to discuss your experience upon your return.
  3. Complete an assessment of the experience.
  4. Share your experience with the OIP Facebook Group
  5. Give a poster presentation at the Fall and/or Spring International Educational Experience Showcase, if available.
