Leaves of Absence

Consider the following before you request a Leave of Absence or enrollment in a special program (IDSP 804 only).

Financial Aid

Ask about contacting lenders. Ask about possible need to repay financial aid for current semester. Ask about loan deferments-loans cannot be deferred when students are not enrolled.

Fees

How will current fees be handled?  Refunds may go to Financial Aid. Ask about future assessments.

Residency Status

A student who is not enrolled at the University of Kansas and who moves outside the state for the period of his/her LOA will, in all likelihood, lose his/her residency status.

Health Insurance

It is required that you remain on the current student health plan or have a valid affidavit showing health insurance coverage through a parent or spouse’s employer health insurance plan.  Ask for more details.

GROSS BONE BOX AND HISTOLOGY/CTB SLIDES BOX

All first year students are required to return both boxes to the Anatomy office.

Schedule

Rosters are prepared four weeks in advance of start of courses.   Departments must be notified if any additions or deletions to their rosters by this date.

KUMC Clinical Student Pager

It is required that all third and fourth year students turn in their KUMC issued paper prior to beginning an LOA.  The student will be issued another pager upon their return from LOA.

Types of Leaves of Absence

Administrative (action taken by Academic Committee or Dean); Medical (physician’s statement required); Personal (first request); Personal (second or subsequent request); Academic (IDSP 804 enrollment - NIH or Post-sophomore Fellowship, MPH, MHSA, etc.)

  • What is the reason for requesting this Leave of Absence?
  • What assistance have you already sought in dealing with the reason for requesting this LOA?  If appropriate, have you contacted the Associate Dean for Student Affairs or the Director of Records and Registration?
  • During the LOA, what will you be doing?
  • What is the relationship of your activities during the LOA to the reason for the requested leave.

All requests for, as well as requests to return from, a Leave of Absence (LOA) or Special Program (IDSP 804 only) must be approved by the Associate Dean or Assistant Dean for Student Affairs.  The Academic Committee of the School of Medicine must approve a request for a subsequent LOA. 

Any second or subsequent request for a Leave of Absence is not official until the Academic Committee at the Associate Dean or Assistant Dean for Student Affairs has approved the request.  You are expected to continue with your coursework until appropriate approval has been obtained and you are notified of their decision.  The only exceptions are for a Medical or first time Personal leave of absence, which become effective on the date of the initial request and after approval has been granted by the Associate Dean or Assistant Dean.  The approved request will then be submitted as soon as possible to the Academic Committee for their information.  All requests for extension of a current LOA must be approved by the Academic Committee.

Each course director in the courses in which the student is enrolled, will be asked to indicate whether a student is passing or failing at the time of the leave of absence was granted.  Students who are passing will receive a W (withdrew passing) on their transcripts, which will not affect their grant point average or class standing.  Students who are failing will receive a WF (withdrew failing) on their transcripts, which will affect their grade point average and count the same as if they had received an Unsatisfactory grade in the course.

A “Request to Return from Leave of Absence or Special Enrollment” form (see attached) must be submitted to the Office of Student Affairs in the School of Medicine, at least six to eight weeks prior to the anticipated date of re-enrollment in the medical school curriculum.  No student will be scheduled to enroll in coursework until the appropriate paperwork has been completed and approved by the Associate Dean or Assistant Dean for Student Affairs that approved your LOA or Special Enrollment.  Students taking a Leave of Absence must adhere to the School of Medicine policy stating that graduation requirements must be completed within six years of the date of matriculation into medical school.  The clock does not stop while a student is on an LOA or during enrollment in IDSP 804.

Requeset to Return from Leave of Absence

  • What was the reason for the Leave of Absence?
  • What assistance did you seek while on your Leave of Absence to deal with the reason for the leave, if assistance was appropriate?
  • During the Leave of Absence, what did you do?
  • What was the relationship of your activities during the Leave of Absence to the reason why you requested a Leave of Absence?

No student will be scheduled to enroll in coursework until this form is completed and approved by the authority who originally approved your Leave of Absence.  When you are notified in writing that your Request to Return from Leave of Absence has been approved, you should schedule an appoint with Laura Zeiger, Assistant Dean for Student Affairs  (3040 Murphy Administration Building, Ext. 5290) to arrange your academic schedule.  In the case of students who were granted a Medical Leave of Absence, a letter from your physician is required, stating that the problem for which you were granted a leave has been resolved and you are ready to resume your medical school coursework as a full-time student.
