Instructions for Faculty Applying for Promotion and/or Tenure

The process of academic promotion and/or award of tenure is designed to validate that applicants have met or exceeded the expectations for the requested promotion. As stated in the Handbook this "careful, deliberate and searching" process is followed because of the significance of academic promotion/tenure not only to the individual, but also to the University. As the excellence and reputation of the University depend directly on the quality of its faculty, the expectations for each rank reflect institutional values and academic standards.

After you have made the decision to apply for promotion and/or tenure, the first step is to complete a Registration Form. School of Medicine faculty members can access the form from March 1st to May 1st each year.

Upon receipt of the form, the office of Faculty Affairs and Development (FAD) in Kansas City or the Office of Faculty Affairs and Professional Development (FAPD) in Wichita, will verify your current status and credentials. Once eligibility is confirmed you will be contacted with instructions on how to access SharePoint, our online submission site.

About the Review:

Applications are reviewed by committees of peers at the departmental, School of Medicine, and campus levels. Recommendations are made by the School of Medicine's Appointments, Promotion and Tenure (APT) Committee to the Executive Dean in Kansas City or Dean of the Wichita campus, to the Vice Chancellor for Academic Affairs and then to the Executive Vice Chancellor. The final award of promotion and/or tenure is made by the Chancellor.

Best Practices for Application:

  • Applications are scrutinized carefully at each stage in the process.  Please make sure your documentation is complete and evidence for the requested award is clearly articulated.
  • Each application is reviewed by individuals who may have very different professional backgrounds from your own. Keep this in mind while preparing your application and offer adequate explanation where necessary. For example:
    • If you are a clinician, a basic scientist may not necessarily know what a "busy clinical schedule" looks like. Including information such as RVU's, for you AND department averages, is very helpful. OR
    • If you are a basic scientist, the process of preparing of a scientific paper or grant application may be unfamiliar to a clinician. You are responsible for clearly articulating the case.
  • You must provide names and contact information for qualified individuals* who have agreed to provide letters of support.  Although you will not directly request letters of reference, you are encouraged to contact references and confirm their willingness and availability to support your nomination for promotion. (*Qualified individuals include references at the proposed rank or above.)
  • Teaching evaluations must be submitted as part of your application.  If formal evaluations have not been done, please request a letter of support from someone familiar with your teaching activities. 
  • We encourage all applicants to review the relevant sections of the Handbook and the Guidelines For Academic Promotion and the Award of Tenure prior to preparing an application. The Guidelines have been updated to make it easier to find the information relevant to your application.
  • REMEMBER: Reviewers are only allowed to evaluate your promotion request based on the information that is presented in your application. They are not able to do any further research beyond what is submitted, so be sure that your application is clear and documented to the best of your ability.

Application Deadline: 5pm on September 2, 2014

Your online application must be completed by the deadline. Updates after the September 2, 2014 deadline for pending items currently listed on your CV, such as articles newly accepted for publication or pending grants newly awarded, are usually permitted with the permission of the Associate Dean for FAD (Kansas City) or Associate Dean for FAPD (Wichita).

 

Late or incomplete applications will not be considered for review.
