Policy

The University of Kansas Medical Center Vehicle Management is responsible for providing vehicles for transportation for a minimal fee. This service is available to: 1)University departments, other University related organizations and classes of individuals approved by the Kansas Board of Regents. Only authorized personnel in these groups engaged in official University business may utilize this service. Under NO CIRCUMSTANCES can a state vehicle be driven to a residence and returned the next day, nor have family members or friends operate or travel in a state vehicle. 2) Students are permitted to use a state vehicle, if one of the following conditions is met: (a) they are employed by the State and engaged in official State buisness; (b) there is a State employee in the vehicle; or (c) the vehicle is in a caravan with another state vehicle operated by a State employee.

Procedure

Reserving Vehicle Management Vehicles: the Vehicle Management hours are from 8:00 a.m. through 4:30 p.m., Monday through Friday, closed on holidays. Vehicles are assigned on a first come first serve basis.

When reserving a vehicle, the request should be received no later than 48 hours prior to the scheduled trip. Requests are accepted via telephone, or walk-in. If the vehicle is not picked up at the scheduled time, the reservation will be automatically cancelled. The department will be charged the minimum fee and the vehicle will be reassigned. On occasion, due to an emergency situation or mechanical problems, it is necessary to cancel a vehicle reservation previously scheduled. Every effort is made to avoid such action, but circumstances may dictate no other alternative. Should circumstances develop wherein it becomes necessary to cancel a scheduled vehicle, the department affected will be notified. In order to maintain proper billing, an INTERDEPARTAMETAL ORDER & CHARGE VOUCHER, (form 73-366-R83) must be received in the Vehicle Management office BEFORE the vehicle is realesed.

Vehicle Accident Procedure

  • CALM DOWN!
  • Check to see if passengers, including yourself, are injured.
  • CALL THE POLICE! (DO NOT get into an "at fault" discussion with the other party, let the police make that determination).
  • Refer to the Automobile Liability Insurance Copy in the package.
  • If possible, obtain the Police Report Number.
  • Exchange drivers license number and insurance information.
  • If State Vehicle is driveable, return it to point of origin and contact Vehicle Management. If it is not driveable, contact Vehicle Management for instructions. Vehicle Management (913) 588-7984, after hours (913) 588-5030.

Operation of State Vehicles

All state vehicles are currently located at the Support Services Facility, 2100 W. 36th Ave., Kansas City, Kansas. The driver of the state vehicle can place their personal vehicle in the same stall as the vehicle they are assigned. Any other personal vehicls in the lot will be subject to a parking violation ticket.

Please remove all personal items and trash from the state vehicle upon return to avoid a service charge.

Please check beginning milage for accuracy, and record ending mileage upon return to avoid a service charge.

When operating a state vehicle, adhere to all traffic regulations. The individual operating a state vehicle is responsible for any traffic violations incured.

Procedures For Utilizing State Issues Gas Credit Cards

Enclosed in the issued package is a state issued gas credit card. Before refueling at any station, ask station attendant if the state issued gas credit card(s) are accepted. If so, the state prefers regular unleaded gasoline, at a self service pump, or fuel blended with 10% Ethanol. Vehicle Management is unable to reimburse if fuel is purchased at the expense of the users.

Quik Trip WILL NOT accept the state issued gas credit cards.

McCall stations (open 24 hours) located at 1122 Southwest Blvd., Kansas City, Kansas, and 7th Street and Miami, Kansas City, Kansas will honor the state issued gas credit cards.

Procedures For Refueling

  • Ensure the total gallons purchased are indicated on the gas receipt.
  • Odometer reading and driver's I.D. number must be recorded by attendant or driver. The driver's I.D. number will always be the State Vehicle tag number.
  • If vehicle related fluids are necessary, please itemize on gas receipt.
  • LEGIBLY Sign the gas receipt and obtain a copy. Place gas receipt and card into issued package.
  • K-Tag (Kansas Turnpike Authority). If K-Tag fails to work, park vehicle and request assistance from the toll-booth operator.

Service Charges

If a reservation is not cancelled twenty four (24) hours prior to scheduled pick up time, that department will be charged the minimum rental rate for that vehicle. A cancellation may be made via telelphone, or walk-in.

A $5.00 service charge will be added if Vehicle Management has to do any of the following items:

  • Refuel a vehicle
  • Record ending milage
  • Retrieve a K-Tag
  • Remove any personal items/trash left in vehicle
