Migration from GroupWise To Exchange

All KU Hospital, UKP, and the University (including Wichita and Wichita MPA) employees and students will be migrated to Exchange beginning at 5pm on a Friday November 9, 20012 and will take approximately 16 days to complete. Some important points about the migration:

  • All email messages, whether in your "live" mailbox or in your GroupWise archive will be copied from your GroupWise account to your Exchange account. Folder structures established in GroupWise will be migrated. As part of the migration, the GroupWise client must be removed from your computer. Once the GroupWise client is removed, you will not have access to your GroupWise archives until they are migrated into Outlook.  We estimate that all GroupWise archives will be migrated into Outlook within 16 days from the time the migration starts.
  • Frequent Contacts in GroupWise will not migrate to Exchange.
  • The change over from GroupWise to MS Outlook/Exchange will happen in a 'big-bang' format.  Starting on Friday, November 9, 2012 at 5PM the migration process will begin by creating Exchange mailboxes for everyone.  By Monday morning (Nov. 12, 2012) when you arrive to work, you will have an Exchange mailbox and you will begin to use Microsoft Outlook to access your email.  New email messages will start flowing into your new Exchange box once the mailbox is created. No new mail will be lost during the transition.  All new mail will be delivered to your Exchange email account.
  • Once all of the new Exchange mailboxes are created (sometime on Saturday or Sunday) the previous 30 days of mail and calendar items (previous 30 days and forward) will copy from GroupWise first.  This is being done as there are multiple dependencies within and between organizations relying on calendars and we want to be sure that on Monday morning when staff begins to arrive at work, all Outlook calendars are populated.  After all calendar items are migrated, we will begin moving all email and items from your GroupWise account.  This process will last several days. It could take up to 1 week until all your GroupWise email has been copied into Exchange.  You will still be able to access important messages via GroupWise webmail. (You will not be able to get to archived mail.)  Just remember...any changes made in GroupWise after the copy process begins, will not be reflected in Exchange.
  • GroupWise archived mail will be moved into your new Exchange mailbox under a folder called "GroupWise Archive". In Exchange, we will no longer have archives. The mailbox size will be much larger, 5 GB for faculty and staff and 2.5 GB for students.  There are some who will need larger boxes and that will be done on a case by case manner.
  • You do not need to be available for your account to be migrated.  However, when you return to the office, your PC may need to be rebooted in order for the Outlook client to install.   Until you return to the office or have the Outlook client installed on your computer, you will be limited to only accessing email via the OWA client.
