Exchange Features
Microsoft Exchange is the system that runs email and calendaring. Microsoft Exchange includes several components that send and receive email, performs virus checking and enables the sharing of calendar items and collaboration folders.
Microsoft Outlook is the email/calendaring client application that is most often used on the computer to access the Exchange system. Exchange is also accessible through a web client that is extremely similar to the Outlook client in appearance and functionality, called Outlook Web App (OWA).
Storage
All University, UKP and UKSM-W (including MPA) faculty and staff will have a 5 gigabyte storage limit placed on the mailbox. This is approximately a 5 fold increase in storage compared to the size of the existing faculty and staff GroupWise mailboxes. Students will have a 2.5 gigabyte storage limit placed on the mailbox. This is approximately an 10 fold increase in storage compared to the of the existing student GroupWise mailboxes.
There is no archive function in Outlook. All GroupWise archives will be transferred to your "live" Outlook inbox. When combined some may have inboxes that exceed 5GB, and IR will be working with those individuals ahead of the migration.
Mobile, POP3, and IMAP4
Blackberry, Android and Windows Mobile devices will be supported and will synchronize with Outlook to the extent that the features are supported on the device itself. Existing devices will need to be reconfigured once we move to Outlook.
Once we move to Exchange, you will no longer be able to access your email via POP3 or IMAP4. The only supports connections to Exchange will be the Outlook Client, OWA and/or a compatible mobile device such as an iPhone, iPad, Android or Blackberry (connected to our Enterprise Blackberry Server).
Tracking Emails and Read Receipts
In GroupWise, you could review the properties of sent messages to determine whether the messages have been opened, deleted, or forwarded. While some of this functionality is still available in Exchange, the sender needs to request a "read-receipt" when sending the message from Outlook. Each recipient has the ability to disallow responses to the original sender of this confirming "read-receipt".
Proxying
In Outlook, the Proxy function is called Share. You cannot share your mailbox across organizations. For example, if my mailbox is part of the University of Kansas Hospital's Exchange system I could not share my mailbox with a user that is on the University's Exchange system. Calendars can be shared regardless of what system your mailbox is on.
