Attendance Policy

Overview

Regular attendance and punctuality by staff are important elements in our efforts to maintain high levels of customer service and satisfaction. We will be able to achieve our vision only when all members of the team are contributing positively. When staff meet their obligation to report for work and do so punctually, the burden of work is not passed on to co-workers or delayed. Reworking assignments or schedules to accommodate absences/tardiness represents waste and inefficiency which prevent us from reaching our goals. Still, we recognize that staff occasionally become ill, need to miss work or will be late.

The Attendance Policy Review Committee has studied the policy put into effect in 1992, and recommended several changes which we believe improve the policy for both employees and managers. This pamphlet describes the new attendance policy which will take effect on February 1, 1995.

Attendance/Punctuality Obligations

Staff attendance records will be reviewed continuously. Five (5) points will be assessed for each "unauthorized" absence. An "unauthorized" absence occurs when the employee's supervisor/department has not been properly notified. A department may require advance notification of absences, but may not require more than 24-hours notice in order for an absence to be considered "authorized".

Generally, an "absence" occurs when an employee misses one or more consecutive scheduled work days for a single reason (i.e., flu, family illness, hospitalization).

Employees are also expected to report for work on time. Tardiness for hourly (non-exempt) staff will be reviewed and points assessed for each day of work the employee does not report as scheduled. The employee will be given one (1) point for arriving no later than fifteen minutes after their scheduled starting time; and three (3) points for arriving between (15) minutes and two (2) hours late. Employees who are more than two (2) hours late in reporting for work will accumulate five (5) points. In addition, an employee will be docked pay for tardiness of eight (8) minutes or more.

Corrective Action

Employees will be subject to corrective action when the total points accumulated from "unauthorized" absence and tardiness reaches the following levels within the prior six (6) months.

Note: Point totals will be prorated for part-time employees working between 50-100%. Employees working less than 50% will be evaluated on a 50% standard.

"No-Call - No Show"

All employees are expected to inform their department of absences/lateness whenever possible. Staff who fail to contact their departments cause others to take on additional duties or result in a reduction of services to customers. An employee who fails to notify his/her department of any absence in accordance with the department's policy, will be subject to corrective action as follows:

  • 1st failure to notify of absence Written Warning (R.E.G.D.)
  • 2nd failure to notify of absence Suspension without pay
  • 3rd failure to notify of absence Dismissal
Note: Employees who are absent for five (5) consecutive days without notifying their departments will be presumed to have resigned their positions. Any single incident of three (3) or more consecutive shifts may result in a suspension and, if not handled as a presumed resignation, dismissal for five (5) or more consecutive shifts.

 

Patterns of Absence

Employees who display a pattern of inability or failure to report for work may be subject to corrective action regardless of their overall attendance record. For example, an employee who is regularly absent from work on pay day Friday or on the day before or after a holiday may be viewed as displaying a pattern of absence. A pattern of absence exists when an employee's absences occur with a common factor (day of week, day before/after holiday/regular days off, etc.) at least three (3) times within six (6) months.

Chronic Absence/Tardiness

Employees receiving corrective action under this policy are expected to improve their attendance/punctuality. Failure to improve and/or sustain improvement may result in the employee receiving additional correction. Employees who are chronically unable or unwilling to attend work regularly present a hardship to other employees and customers. Thus, any employee who within the past year has received two (2) corrective actions of the same type, (i.e., REGD) will be subject to the next more serious level of correction for future periods of absence.

Perfect Attendance

Employees whose attendance is 100% are valuable resources to our customers. We want to recognize this dedication and commitment. Employees who achieve "perfect attendance" (no absences or tardiness) for a period of four (4) consecutive pay periods of scheduled work shifts will have five (5) points subtracted from their absence accumulations for the then current six month period. In addition, once each year, the Medical Center will recognize employees who have maintained perfect attendance during the prior calendar year.

Related Benefits

  • Shared Leave may be donated to those employees who have exhausted their hours of leave due to major or catastrophic illness.
  • Upon retirement, a portion of an employee's accumulated sick leave may be dispersed as a cash bonus.
  • The accumulation of sick leave hours is considered an insurance policy to insure employees remain in pay status while off work for an extended period of time.
