W-2 forms and calculations

Online 2013 W-2 forms are available now in the State Employee Self Service Center. You can access your W-2 electronically any time the self service center is open. If you do not consent to receive your W-2 information electronically, you will receive printed W-2 forms, which will be mailed the last week of January in accordance with IRS regulations.

Please note: only taxable income appears on the W-2. If you would like an explanation of W-2 calculations, visit the payroll website under "2013 W-2 helpful information." If you want to view your year-to-date balance, check your last paycheck in December. You may also request a YTD balance report by emailing payroll

If you have not already consented to receive your W-2 information electronically and would like to, just follow the steps below. You only need to consent once and your consent remains in effect until it is withdrawn. Your W-2 form (and up to five years of prior W-2 forms) will be available immediately once you complete the consent.

Steps to access your W-2 online in the Employee Self Service:

  1. Log into Kansas Employee Self Service using your State of Kansas employee ID and password. Use the Forgot Your Password link if you have misplaced your password.
  2. Click on W-2/W-2c Consent link to view the consent form. If you agree, click on the checkbox to indicate your consent.  Submit and confirm by entering your Employee Self Service password and clicking continue and OK.
  3. Click on View W-2/W-2C Forms link in the menu. Click on the Year End Form link to view/print your W-2.  Click on View a Different Tax Year link to view/print W-2s for earlier years.

Please call the State of Kansas Help Desk at 785-296-1900 or 1-866-999-3001 if you experience any issues or have any questions.
