Alcoholic Beverage Service Regulations*

Policy Statement

Permission to serve alcoholic beverages at official University events on the University of Kansas Medical Center campus must be granted by the Executive Vice Chancellor and Chancellor.

Purpose

Kansas State statutes prohibit the service of alcoholic beverages on state property; however, the Kansas Board of Regent institutions have special permission to serve alcoholic beverages at official events honoring individuals or in conjunction with fundraising events. The Executive Vice Chancellor approves designated locations and is responsible for KUMC's compliance.

Groups Covered

All University units and affiliated organizations or entities.

Definitions

Alcoholic Beverage - wine, sherry or 3.2% beer.

Approved Locations

KANSAS CITY:
Beller Conference Center, Clendening Foyer (does not include Clendening Amphitheater), Fairway Auditorium and Ancillary Reception Area (KU Clinical Research Center Building), Francisco Lounge, Hixson Atrium, KHF Atrium, Landon Center Atrium, Murphy Lobby, School of Nursing Atrium, Sutherland Institute, Varnes Conference Center

WICHITA:
Meadowlark Room, Sunflower Room, Wichita Esplanade.

Official Events - Receptions or dinners honoring individuals or fundraising activities for University programs. Events may not be of a commercial nature. Sale of alcoholic beverages is strictly prohibited on state property.

Service Times - 4 p.m. to Midnight. Pre-dinner or reception service may not exceed one hour. Service must end one hour prior to the conclusion of the event.

Procedures

  1. University units and affiliated organizations must complete an Alcoholic Beverage Request Form and forward it to the Executive Vice Chancellor for approval at least two weeks prior to the event.   2. Following review by the University administration, the sponsoring group will be contacted for clarification, approval or non-approval.
  3. The Executive Vice Chancellor will notify the University Police of all events/activities approved to serve alcoholic beverages.
  4. Only the University unit, affiliated organization/entity or event agent may transport alcoholic beverages to and from the approved designated location. Alcoholic beverages served in these areas may not be carried to other locations or stored on University property beyond the day of the event.
  5. Food and non-alcoholic beverages must be available at all events serving alcoholic beverages.

The EVC or his designee may grant exemption from the above policy whenever it appears in the best interests of the University to do so.
